Office Relocation

This is the reason Exlayer have a dedicated Project Department within the organisation and have been providing a number of successful office relocation and construction projects.

Consultation, Design and Project Management services

Relocation planning

  • full audit of all existing IT hardware and produce detailed database
  • establish project time program for IT related works
  • produce project method for relocation of all IT systems in office space and comms room. The systems include PABX, data network, Internet connectivity, security implementation, etc.
  • establish test schedule and implementation
  • establish customer signoff process and implementation

Comms room design

  • rack layout for the new comms room
  • equipment layout within each rack
  • BT / Colt frame layout
  • heat consumption calculations
  • power supply specifications
  • floor cut outs and wall reinforcement requirements
  • other requirements such as gas and water leak detection

General office space

  • general heat consumption calculations
  • general power and UPS specifications
  • recommendations for data and power wiring, floor boxes or grommets
  • recommendation for handling cables on and under desktop
  • design cabling routes and highways throughout the office spaces

Full data network design

  • structured cabling system, patch panel layout,
  • pre-patch schedule prior to the relocation
  • patch and fly leads colour scheme
  • Newlayer-2 infrastructure ready for VoIP technology
  • secure internet connectivity

External service management

  • establish specifications and project method for external vendors such as BT, Colt,Reuters or Bloomberg
  • establish budgets and assist on order placements
  • produce detailed technical instructions to external vendors
  • tracking progress of external vendors

Site Management

  • regular progress reports to the management team
  • attendance during external vendor site visits
  • on site technical support for external vendors on site
  • monitor and manage required health and safety policies

Documentation

Exlayer will produce and maintain documentation throughout the project period. All documentation will be stored electronically, securely and made available as required.

  • layout drawings – comms room, equipment layout, cabling routes, patch panel layouts

  • meeting minutes
  • overall systems description

Engineering

It is paramount that all IT equipment is properly disconnected,securely relocated, reconnected and thoroughly tested at the new location.

Exlayer are able to provide necessary engineering personnel for any relocation period, typically weekend work. All engineers are fully trained in systems engineering and can actively provide troubleshooting expertise in the event of any problems. This same staff will provide on site attendance during the first period of live operations and are therefore immediately available to attend to any issues arising.

Resourcing

The assigned Exlayer Project Manager assumes full responsibility for the project, start to finish. The duties include close liaison with the client’s project team and to ensure that the project is delivered in a way that will exceed all expectations. The Project Manager is contactable 24H 365D throughout the term of the project.

Exlayer Site Managers ensure that all on site IT workers comply with the relevant health & safety policies and will assist in providing engineering support services whenever necessary.
